Booking Terms, Conditions, and Payment Policy

These terms apply to bookings made with Elyndara. By confirming a journey with us, you agree to the conditions below, which are governed by the laws of Sri Lanka and subject to the jurisdiction of the courts of Colombo, Sri Lanka.

1. Booking and payment

How bookings are confirmed

All bookings are handled by the Elyndara team by email, telephone, or through our website. A booking is only considered confirmed once the required payment has been received and the traveller details necessary to operate the journey have been provided.

Once your itinerary is agreed, Elyndara will issue a booking confirmation together with payment instructions. Unless otherwise stated in writing, an 80% deposit of the total trip value is required to confirm the booking, and the balance is due at least 14 days prior to arrival. Full payment may also be settled at the time of confirmation.

If you are booking within 14 days of arrival, full payment is required at the time of booking. For certain group, conference, incentive, or complex travel arrangements, Elyndara may require the balance or full payment up to 30 days before arrival.

Payment is accepted by bank transfer unless otherwise agreed in writing. As many hotels and service providers in Sri Lanka require advance payment in order to secure space, provisional reservations may only be held for a short period and remain subject to availability until payment is received.

There is no binding travel contract until Elyndara has received the required deposit or full amount requested for confirmation.

2. Travel information

Passports, visas, health, and documentation

All travellers must hold a valid passport and any visas or travel permissions required for Sri Lanka and for any additional countries included in the itinerary. Passports should generally have at least six months' validity from the date of travel.

It is the traveller's sole responsibility to ensure that travel documentation meets the requirements of all immigration, transport, and government authorities involved in the journey. Any fines, penalties, delays, denied boarding, or related costs arising from inadequate or invalid documentation remain the traveller's responsibility.

Elyndara recommends that travellers consult official foreign affairs and health guidance relevant to their country of residence, and seek medical advice regarding vaccinations, wellness needs, and travel suitability before departure.

Travel documents, hotel confirmations, transfers, and supplier vouchers are generally non-transferable and may also be non-refundable, non-date-changeable, or subject to amendment fees.

3. Changes and cancellations

Amendments before departure

Any change to a confirmed booking may incur charges, including supplier penalties that can reach up to 100% of the affected service value. Elyndara will return any recoverable amounts where possible, but many hotels, transport providers, and destination suppliers apply strict amendment terms.

Cancellation requests must be submitted to Elyndara in writing. Cancellation charges are calculated based on the date written notice is received.

30 to 21 days

25% of the total trip value retained.

20 to 10 days

50% of the total trip value retained.

9 to 6 days

75% of the total trip value retained.

Less than 6 days

90% of the total trip value retained.

No show

100% of the total trip value retained.

During peak travel periods, especially from December 15 to April 15 and from July 15 to August 15, some suppliers may impose stricter cancellation terms and charges may reach up to 100% even from one month prior to arrival.

If only part of a multi-traveller booking is cancelled and the remaining journey still proceeds, the above cancellation terms may be applied on a prorated basis to the cancelling travellers.

Refunds, where due, are generally processed within 12 weeks from the confirmed cancellation date, subject to supplier recoveries and banking timelines.

4. Complaints and communication

Raising an issue during or after travel

If any issue arises while travelling, you should notify the relevant hotel, transport provider, guide, or service provider immediately and keep Elyndara informed at the same time. This gives us the best chance to investigate and assist while the journey is still underway.

If the matter is not resolved locally, any formal complaint should be sent to Elyndara in writing within 28 days of your return, together with the relevant facts and supporting documents. Legal notices and formal contractual correspondence may be directed to legal@elyndara.com. Disputes, if any, remain subject to Sri Lankan law and the courts of Colombo.

5. Insurance and liability

Insurance remains essential

Elyndara strongly recommends that every traveller hold a comprehensive personal travel insurance policy, including cancellation, medical, and repatriation cover. Elyndara is not a substitute for travel insurance.

Where liability cannot be excluded, Elyndara's liability is limited to the value of the travel arrangements purchased through us. We do not accept liability in contract, tort, or otherwise for injury, damage, loss, delay, extra expense, or inconvenience caused directly or indirectly by force majeure, terrorism, war, civil disturbance, strikes, supplier insolvency, natural disaster, bad weather, transport disruption, baggage loss, flight misconnection, or any other event outside our reasonable control.

Elyndara acts as travel designer and booking intermediary for many travel services. All services are also subject to the terms and limitations imposed by the underlying accommodation, airline, transfer, guide, and activity providers involved in your itinerary.

If Elyndara arranges only part of your holiday, our responsibility is limited to the specific services we have directly contracted to provide or coordinate.

6. Price revision

When prices may change

Elyndara does not ordinarily apply surcharges after confirmation except where increases arise from transportation costs, exchange-rate fluctuation, government taxes, or entry-ticket revisions. Elyndara will absorb increases up to 5% of the total holiday price. If the increase exceeds 5%, a revised invoice may be issued.

If you choose not to accept a qualifying price revision, you may request cancellation in writing, in which case cancellation terms and supplier recovery rules will apply.

7. Flight details and destination logistics

Accurate arrival information matters

Where international or regional flight details affect transfers, seaplane connections, speedboat movements, domestic air arrangements, or hotel confirmation timing, travellers must provide those details as early as possible. If flight information is missing, late, or inaccurate, any resulting additional costs or transfer disruption may remain the responsibility of the traveller.

8. Conduct, damage, and supplier rules

Traveller responsibilities

Travellers are responsible for complying with airline, hotel, transfer, and local conduct requirements throughout the journey. Any loss, breakage, damage, or supplier claim caused by you or by a member of your party remains your responsibility.

If your conduct is reasonably considered disruptive, unsafe, abusive, or likely to cause distress to staff, suppliers, or other guests, relevant services may be refused or terminated without refund.

9. Website, recommendations, and external content

Information and third-party links

Elyndara aims to keep all website and itinerary information accurate and current, but does not warrant that every image, description, recommendation, or facility reference will remain identical at all times. Hotels and suppliers may change amenities, layouts, or operating conditions without prior notice.

Our website may contain links to third-party websites for convenience. Elyndara does not control those websites and is not responsible for their content, services, or data practices.

10. General legal terms

Governing law, severability, and jurisdiction

These terms are governed by the laws of Sri Lanka. Any dispute, claim, or legal proceeding connected with a booking made with Elyndara is subject to the jurisdiction of the courts of Colombo, Sri Lanka.

If any provision of these terms is found invalid or unenforceable, the remaining provisions remain in full force and effect. Elyndara reserves the right to revise these terms where necessary, with the latest published version on this website prevailing in the event of conflict.
