Responsibilities

Key responsibilities and day-to-day focus

  • Manage post-booking operations including hotel reservations, experience confirmations, transport scheduling, supplier follow-up, and documentation accuracy.
  • Prepare and quality-check final itineraries so timings, inclusions, notes, and contact details are clear and consistent.
  • Coordinate with travel design, concierge, guest relations, and chauffeur teams to ensure smooth handovers and live-service readiness.
  • Track payment statuses, booking deadlines, release periods, and supplier confirmations with discipline.
  • Identify operational risks or missing details before travel commences and escalate them early with practical solutions.
  • Maintain reliable records across operational trackers, supplier communications, and guest files.

Required Qualifications

What we need to see

  • At least 3 years of experience in travel operations, reservations, itinerary coordination, tour operations, or premium hospitality execution.
  • Exceptional attention to detail and comfort working with high volumes of moving parts.
  • Strong written English and clear partner communication habits.
  • Confidence using spreadsheets, booking trackers, email coordination, and operational documents.
  • Ability to remain composed during deadline-heavy or change-sensitive periods.
